1. Overview
Conduit Works LLC ("we," "us," or "our") provides AI-powered voice receptionist, business dashboard, and website services to small businesses.
This policy covers two different groups of people, and the difference matters:
- Visitors to theconduitworks.com. If you contact us through this website, we are the ones collecting your information, and we decide how it is used. Section 2A applies to you.
- Callers to a business we answer the phone for. If you called a plumber, an electrician or another local business and our receptionist answered, we handled your information on that business's behalf. They decide how it is used; we process it for them. Section 2B applies to you.
If you are a caller and want your information corrected or removed, the fastest route is the business you called. You can also contact us at the address in Section 11 and we will pass the request on.
2. Information We Collect
2A. From visitors to this website
Our contact form asks for:
- Your name
- Your business name
- Your email address
- Your phone number
- The kind of work you do
- A description of what you are trying to solve
All of it is provided voluntarily. Nothing is required to browse the site.
We do not use advertising or analytics cookies on this website. We do not track you across other sites.
2B. From callers to a client's business line
When our AI receptionist answers a call on behalf of one of our business clients, it may collect:
- Full name
- Phone number
- Email address
- Service address
- A description of the service request or inquiry
This information is provided voluntarily by the caller during the conversation.
How calls are processed. Speech is converted to text in real time so the receptionist can respond, and a written summary of the call is produced at the end. Callers who ask whether they are speaking to a person are told plainly that they are speaking to a virtual receptionist.
3. How We Use Information
Website enquiries are used only to respond to you about the services you asked about. We do not add you to a marketing list, we do not run drip campaigns, and we do not sell or share your details with anyone.
Caller information is used only to:
- Record the enquiry as a lead in the business client's own records
- Send that business owner a summary of the call
- Let the business owner follow up with the caller about their request
We do not use caller information for marketing, sell it, or share it with anyone outside the business client on whose behalf the call was answered.
4. SMS Notifications
We use Twilio to send SMS messages to business owners after each call. These messages contain a brief summary of the call, including the caller's name, contact information, and service request.
These SMS messages are transactional and are not marketing messages.
Business owners who receive SMS notifications from our service have consented to receive them as part of their service agreement with Conduit Works LLC. Message and data rates may apply. Recipients may opt out at any time by replying STOP, and may request help by replying HELP.
We do not send marketing SMS messages to callers.
5. Data Storage and Retention
Website enquiries and caller records are stored in Google Workspace services (Google Sheets and Google Calendar) and are accessed through Supabase, which holds the credentials and acts as the secure intermediary between our applications and Google. Our applications are hosted on Vercel and Railway.
Caller information is held in systems maintained by or on behalf of the relevant business client. We retain call logs and associated records for as long as that client's service agreement is active. On termination, data handling follows the client's instructions.
Website enquiries are retained for as long as needed to respond to you and to keep a record of the enquiry, and are deleted on request.
6. Data Security
We take reasonable technical and organizational measures to protect information from unauthorized access, disclosure, or misuse.
Credentials are held server-side and are never exposed to a web browser. Access to client dashboards requires authentication. Our systems use industry-standard authentication and access controls.

8. Your Choices
You may ask us to tell you what information we hold about you, correct it, or delete it. Contact us at the address in Section 11.
If you are a caller rather than a client of ours, ask the business you called first — they control that record. We will act on a request passed to us by that business, and we will forward any request you send us directly.
9. Children's Privacy
Our services are not directed at children under the age of 13, and we do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this policy from time to time. The current version is always available at theconduitworks.com/privacy, and the effective date at the top of this page shows when it last changed.
